Under the authority of the Sr. Manager Project Services LGS, the incumbent is responsible for supporting and supervising a group of Project Coordinators, ensuring the coordination of all projects by optimal planning and organization.



Position accountabilities


  • Provides support to ensure customer satisfaction and cost-efficiency of the entire project and order execution process; recommend system and process improvements
  • Recommends staffing needs and recruits, hires, develops and motivates discipline team for maximum utilization and profitability
  • All other task related to this position
  • Support an end-to-end business process and ensure seamless processing of orders from variety of channels. [direct, distributor and dormakaba RMO]; Manage efficiency of the Interco process
  • Ensure the proper trade agreements are in the ERP system(s).  Coordinate with sales and marketing to get the correct pricing structure in place
  • Ensures timely execution of the different Project phases by coordinating internal and external suppliers and escalating problems through the organization as required
  • Work with other departments such as Credit and Finance to resolve project related issues
  • Ensure that we start every project with a solid kick-off, thanking the clients for choosing dormakaba, and going over dates, payments, to ensure that we set clear expectations from start
  • Keep the client informed on shipping date, installation date and if any issues may arise
  • Administer the customer and installer's invoice and its reconciliation and collection
  • Refer any collection problems (over 30 days) to the Credit Department
  • Follow up with the customer when project installation is completed; proceed with a satisfaction survey
  • Manage any problems or situations that may arise with the customer during the coordination of the projects. Escalate to correct person / group when necessary
  • Perform all other tasks related to the position.

Basic and preferred qualifications (education and/or experience)


  • 5-8 years of experience in successfully managing project coordination/management teams
  • College degree in Business Administration or strong experience in pertinent fields.



Minimum qualifications, job skills, abilities


•     Proficient knowledge of Windows-based business computers and Microsoft Office programs; specifically, Access, Excel, PowerPoint; Knowledge of MS Dynamics AX or SAP a strong asset

•     Ability to recognize discrepancies/errors in written/recorded data/information including the ability to initiate and respond to work errors in a professional manner, working collaboratively and cooperatively with others

•     Ability to organize, prioritize and control job responsibilities in order to meet deadlines in an environment with overlapping and potentially conflicting priorities

  • Ability to organize and prioritize work and work under pressure to meet deadlines
  • Ability to travel occasionally.
