In this key role, you'll provide essential support to Senior Executives, manage complex schedules, coordinate high-level meetings, and handle confidential information with discretion. Key Responsibilities:

  • Executive Support: Provide high-level administrative support to the Senior Leadership Team, including managing calendars, scheduling meetings, and preparing executive correspondence.
  • Travel Coordination: Plan and arrange complex travel itineraries, including flights, accommodations, and ground transportation. Ensure all travel plans align with the executives’ schedules and preferences, and handle any changes or issues that arise.
  • Meeting and Event Management: Organise and coordinate high-level meetings, conferences, and events. Prepare agendas, gather and distribute materials, and ensure all logistical details are managed effectively.
  • Meeting Coordination: Organise and facilitate high-level meetings and events, ensuring all logistics are managed and agendas are aligned with leadership priorities.
  • Confidentiality: Handle sensitive information with discretion and maintain the highest level of confidentiality in all tasks and communications.
  • Purchase Orders and Reconciliation: Create purchase orders and manage procurement processes for executive needs. Reconcile invoices and purchase orders with financial records, ensuring accuracy and timely processing.
  • Office Management: Oversee office operations related to executive functions, including managing supplies, equipment, and administrative resources as needed.

 

YOUR SKILLS

  • Organisational Expertise: Demonstrate exceptional organizational skills with the ability to manage complex schedules and multiple priorities effectively.
  • Communication: Exhibit strong interpersonal and communication skills, with the ability to interact confidently with senior leaders and other stakeholders.
  • Experience: A proven track record of at least 2+ years in an executive support role, with experience in managing high-level administrative tasks and supporting senior management.
  • Technical Skills: Proficiency in MS and teams
  • Attention to Detail: Show meticulous attention to detail and a commitment to delivering high-quality results.
  • Proactive Approach: Be a proactive and self-motivated individual, with a keen ability to anticipate needs and address challenges before they arise.
