Position

 

Under the authority of the VP, General Counsel, Innovations and Solutions, the candidate will be responsible for collaborating and providing administrative support to the Legal department – Innovations and Solutions, and to the Cloud Platform Service & Solutions (“CPSS”) management team.

 

 

Responsibilities

 

Support specific to the Legal team:

  • Edit and format documents generated and/or revised by the legal department
  • Assist in the preparation and follow-up of contract signatures and correspondence
  • Filing and scanning the legal department documents
  • Draft corporate resolutions as needed and maintain company minute books
  • Prepare and maintain company annual reports with Canadian provincial and USA state registries, as well as other regulatory organizations as needed
  • Take charge of the opening, closing and archiving of the legal department's files in accordance with the standards established by the Quebec Bar and internal policies.

 

General administrative support for the CPSS management team and the Legal team – Innovations and Solutions:

  • Support the preparation, annotation and animation of PowerPoint presentations
  • Manage invoices received from external sources, liaise with accounting/finance personnel
  • Organize meetings/trainings, book meeting rooms/video conferences
  • Organize and follow up agendas (negotiations, meetings, etc.)
  • Prepare relevant documents for meetings as well as drafting minutes of meetings
  • Sort and reply to mail, scan and copy documents
  • Attend to reception duties, including receiving and shipping of documents or packages
  • Manage and place orders as needed for office supplies and other items, knowledge of Axapta is an asset
  • Make travel arrangements, book business travel and accommodations
  • Prepare and submit travel and other expense reports for team members in Concur.

 

 

Requirements

 

  • Diploma in business or legal or paralegal administration
  • Minimum 5 years’ experience in an in-house legal support position or senior administrative role in a multinational company
  • Advanced knowledge of MS Office suite (Word, Excel and PowerPoint)
  • Excellent verbal & written skills in both French and English
  • Basic financial knowledge an asset.
