POSITION OVERVIEW

dormakaba is seeking an experienced Office Administrator to support the Orlando, FL office. This role is responsible for ensuring a positive customer experience and providing administrative support for the local Sales & Service branch, which will include verbal and written communication with customers and technicians and completing the associated administrative tasks.

 

PRIMARY DUTIES

  • Ensures a positive customer experience by through efficient, courteous, and professional interactions between local staff and customers. Providing a positive customer experience may also include:
    • Personally, resolving customer requests and inquiries
    • Ensuring the quality of dispatching
    • Handling escalated customer concerns
    • Facilitating credit and collections interactions
    • Answering & transferring phone calls
    • Maintaining knowledge of customer requirements and agreements
  • Provides operational support and assist with the preparation of documents and communication such as:
    • Service Order entry and maintenance
    • Overseeing processing of POs, invoices, CODs, billing, vendor & customer setups, etc.
    • Assisting with inventory oversight and transactions including shipping & receiving
    • Monthly RECNOAP reconciliation
  • Manages efficient administrative support services in the Service Center
    • Ensure cleanliness and functionality of the office workspaces & equipment, including act as liaison with IT and managing office supplies
    • Provide reporting as needed and maintain documents
    • Assist with accurate submission of employee payroll data
  • Additional job duties appropriate for the role while conducting business in accordance with applicable laws and dormakaba policies.

 

REQUIREMENTS

  • 2-3 years’ experience in an office administration role preferred
  • Strong software skills including MS Office suite (Outlook, Excel, Word, PowerPoint)
  • Excellent written and verbal communication, time management and organizational skills
  • Strong customer service orientation and experience in a field service environment preferred
  • Ability to address multiple tasks in a fast-paced environment
  • Experience with all facets of billing and invoicing preferred
  • Experience with SAP a plus
