Service Operations Coordinator

The person holding the position will support the service team to respond to routine and emergency maintenance and repair service requests; prioritizes and coordinates work orders; assigns work to service technicians; serves as liaison with customers; inspects completed work and resolves complaints, control all Service-related documents and liaising with other departments / customers to support the provision of excellent service and dormakaba quality standards.
Responsibilities:
- Initiate and follow up on the process of creating SAP compliant article numbers with the Product Marketing Coordinator (PMC) for the spare parts
- Handle all breakdown calls received and schedule technicians to attend on priority basis
- Schedule technicians on day-to-day basis to carry out preventive maintenance of all dormakaba products covered under warranty, contract and spot jobs
- Provide monthly service works forecast & be accountable for the overall performance in the increase of spot job & spare part sales turnover in respective area of responsibility
- Prepare quotations upon receipt of service reports from the technicians and inquiries received through and follow up till PO creation
- Ensure target fulfilment of Service contract letter renewals to communicated to the customer on timely basis
- Generate sales orders, purchase orders and follow up with suppliers for quick dispatch of material
- Coordinate with other departments to follow up on sample orders
- Identify and recommend possible opportunities to direct Service Manager
The Successful Applicant
- Bachelor’s degree or equivalent.
- 1 year of experience in a similar role.
- Applied knowledge and experience of spreadsheets, database management, word processing and software applications.
- Excellent organisational and document management skills.
- A very good command of both written and spoken English.
- Familiar with SAP
- Attention to detail.
- Able to perform repetitive tasks.
- Good communication skills
