This role involves managing the service back office, handling invoicing,  and organizing maintenance schedules. Also the Service Coordinator will be responsible for SAP data input and reports for the service and installation department. 

 

A job that matters: Your Tasks 

 

Invoicing:

  • Prepare and process invoices for services rendered.
  • Send invoices to clients in a timely manner.
  • Follow up on outstanding invoices and manage accounts receivable.

 

Client Communication:

  • Answer incoming calls and respond to client inquiries promptly and professionally.
  • Manage email correspondence, ensuring timely and accurate responses to client requests.
  • Address client concerns and escalate issues to the Service and Installation Coordinator as needed.

 

Scheduling and Coordination of Maintenance:

  • Track , arrange and confirm maintenance schedules.
  • Coordinate with the Service and Installation Coordinator to ensure efficient scheduling of maintenance activities.
  • Communicate schedule changes or delays to clients.

 

Planning Materials from the Warehouse:

  • Assist in planning and organizing materials needed for service and installation jobs.
  • Coordinate with the warehouse team to ensure timely availability and delivery of materials.

 

SAP, Record Keeping and Documentation:

  • Maintain organized and accurate records of service and maintenance activities, client communications, and scheduling.
  • Ensure all service documentation is properly filed and accessible.
  • Preparation of reports and summaries for management review.

 

An experience that matters: Your Skills

 

  • High school diploma 
  • Proven experience in an administrative role, preferably in a service or technical environment.
  • Excellent communication skills, both verbal and written.
  • Proficiency in using office software, including MS Office Suite (Word, Excel, Outlook). SAP proficiency is a strong advantage. 
  • Ability to multitask and manage time effectively.
  • Customer-focused mindset with a proactive approach to problem-solving.
