Position Overview
As an Administration Coordinator, at our Best Doors business in Mackay you will play a pivotal role in supporting the day-to-day operations of our branch. Reporting to the Branch Manager, you will be the first point of contact for customers while providing essential administrative, scheduling and operational support to the wider team.
What you will do
- Manage reception, inbound calls, and customer enquiries across phone, email, and walk-in channels.
- Respond to service requests and maintain effective customer communications.
- Prepare and process quotes, orders, invoices, and purchase orders.
- Schedule and coordinate installations, maintenance, and service activities.
- Create and maintain accurate job cards, service documentation, and operational data.
- Receive stock, maintain inventory records, and manage BOM data accuracy.
- Process contractor invoices and support accounts and administrative functions.
- Liaise with technicians, installers, suppliers, contractors, and the Branch Manager to ensure smooth service delivery and operational support.
What we require
- Previous experience in administration, customer service, scheduling, or coordination roles.
- Strong customer service, communication, and relationship-building skills.
- High attention to detail with accurate data entry and record management capabilities.
- Strong organisational, problem-solving, and time management skills, with the ability to manage multiple priorities.
- Proficiency in Microsoft Office and computer-based systems, with a proactive attitude and willingness to learn new processes.
What we prefer
- Experience within construction, trade services, manufacturing, logistics, transport, warehousing administration or related industries – highly regarded
- Experience coordinating schedules, installations or service activities
- Exposure to quoting, invoicing and purchase order processes
- Experience using ERP, inventory management or job scheduling systems
