Position Overview

 

We are looking to hire a Project Billing Coordinator (English) to join our team in Sofia. In this role, you will be responsible for delivering accurate, timely, and compliant billing across customer projects, service activities, and third-party engagements. You will act as a key point of coordination between Sales, Customer Service, Finance, Operations, and our customers, ensuring that invoicing is aligned with contractual terms, project milestones, and specific customer requirements.


Working hours: 11:00 AM – 8:00 PM (Bulgarian time), to support alignment with U.S. business hours.

 

What you will do

 

 

Billing & Invoicing

  • Execute daily billing activities, ensuring accuracy, completeness, and timeliness.
  • Prepare and issue proforma invoices for advance payment scenarios in line with customer credit terms.
  • Process and issue final commercial invoices based on contracts, purchase orders, and billing milestones.
  • Reconcile proforma invoices with final billings to ensure consistency and accuracy.

Compliance & Process Management

  • Ensure all invoices comply with contractual, legal, and internal policy requirements.
  • Manage portal-based invoice submissions, adhering to customer-specific formats and documentation standards.
  • Maintain proper documentation to support audit readiness and internal controls.

Collaboration & Issue Resolution

  • Act as a liaison between Sales, Customer Service, Finance, and Operations to align billing activities.
  • Support the resolution of billing discrepancies and customer inquiries to minimize payment delays.
  • Partner with Accounts Receivable and other stakeholders to improve billing accuracy and reduce cycle time.

 

What we require

 

 

  • 3 years of experience in a similar billing, invoicing, or back-office role within a sales and service environment.
  • Bachelor’s degree in Business Administration, Finance, Accounting, Supply Chain, Sales, or a related field is preferred.
    Proven experience in processing customer orders and generating invoices.
  • Hands-on experience with ERP and Accounts Receivable systems such as PowerShift, SAP (S/4HANA or Business One), Oracle (NetSuite or Fusion Cloud), Microsoft Dynamics 365, or SAP Ariba.
  • Strong proficiency in Microsoft Office, particularly Excel.
  • Excellent attention to detail and a high level of accuracy.
  • Strong communication skills (written and verbal) with the ability to work cross-functionally.
  • Fluency in English (C1 level or higher).
